Scan Invoices With Your Phone: From Photo to OCR Data

·6 min read
← All guides

To scan an invoice with your phone, start with a readable image of the entire document. Add OCR extraction and a review step when you need accounting fields as well as a copy of the invoice. This guide follows the browser workflow on iPhone and Android, without installing another app.

Scan an invoice in six steps

Choose the company that received the invoice before uploading it. This associates the document with the correct company and accounting destination from the start.

  1. Open Slikaj Račun in your browser, sign in and open Scan.
  2. Select the company and check its delivery settings.
  3. Tap the camera button and allow camera access. Use the PDF/image upload button for an existing file.
  4. Photograph the entire invoice and check that small numbers are sharp before uploading.
  5. Compare extracted fields with the original in OCR review, correct mistakes and approve the document.
  6. Send or export using the configured delivery mode, then check the delivery status in the archive.

An image, a scan and invoice OCR serve different purposes

A scan preserves the appearance of the original. OCR recognises its content, and extraction arranges that content into fields such as supplier, invoice number, dates, VAT, totals, IBAN and line items. A clean image helps recognition, but the result still needs review.

Improve your invoice photo before uploading

If totals look small, blurred or shadowed when you zoom in, prepare another image. The quality of the original affects how much reliable information can be extracted.

  • Flatten folds and place the invoice on a stable surface.
  • Use even lighting and avoid glare on thermal receipts.
  • Hold the phone parallel to the page.
  • Include the edges, tax details and payment section.
  • Focus the text and keep the phone still.
  • Prefer the original image or PDF to repeatedly compressed copies.
  • Keep every page of a multi-page invoice in the right order.

Review the fields that matter

Check that the supplier and buyer have not been swapped. Compare the invoice number, dates, currency, net amount, VAT and gross total. A paid invoice may have a full invoice total and a different remaining amount due.

Review line items, discounts, VAT rates, IBAN and payment references. Calculation checks help detect inconsistencies; the user or accountant still decides the correct accounting treatment.

Send the scanned invoice to accounting

Configure the accounting email address to forward the original. For extracted fields, confirm which structured import format your accounting software accepts before selecting XML or another delivery mode.

Test one document first. Ask the accountant to confirm that it arrived under the correct company and that the fields imported as intended. Sending a photo does not by itself establish that the invoice has been posted.

Understand the page allowance

Paid Slikaj Račun plans count OCR pages without a separate invoice-count limit. A three-page invoice consumes three OCR pages. Team members and companies share the included monthly allowance.

Estimate your required capacity by multiplying invoice count by average pages per invoice. The pricing page lists current allowances and prices. The free plan has its own document and page limits.

Frequently asked questions

Do I need to install an invoice scanning app?

You can use Slikaj Račun in your phone browser, take a photo or upload an existing image or PDF.

Why did OCR read the wrong total?

Check focus, glare, cropped edges and image resolution. Correct the field in review, and prepare a better image when the original is unclear.

Can I scan a multi-page invoice?

Yes. Keep all pages of the invoice together. For a PDF containing several different invoices, review the proposed document boundaries in PDF batches.

Does scanning post the invoice to the accounts?

Capture, extraction, review, delivery and bookkeeping are separate stages. Check delivery in the app and the subsequent result in your accounting software.

Try the workflow on your own invoice

Free: 3 invoices and 10 OCR pages per month. Review the result before sending it to accounting.

FAQ

Common questions about invoice OCR

Quick answers about scanning, invoice data extraction, accounting integrations and multi-company workflows.

What is invoice OCR and which fields can it extract?+

Invoice OCR turns a PDF or image into structured accounting data such as invoice number, dates, supplier details, VAT ID, IBAN, net amount, VAT, gross total, VAT breakdown and line items.

Does invoice OCR work with Slovenian and English invoices?+

Yes. Slikaj Račun is designed for Slovenian and English invoices and common international invoice labels, so local and foreign supplier invoices can use the same workflow.

Do I need to replace my accounting software?+

No. Slikaj Račun complements the accounting system you already use. Keep your current invoicing and bookkeeping software while Slikaj Račun handles incoming-invoice capture, OCR, review and delivery.

Does it work with Minimax, Birokrat, Pantheon and other systems?+

Yes. You can forward the original invoice to an accounting import email. Approved structured data can also be used in UBL, eSLOG or API workflows depending on the destination system and plan.

What happens when OCR confidence is too low?+

The invoice is sent to review. The original document and extracted fields are shown side by side so a user can correct and approve the result before it continues downstream.

Can accounting firms manage multiple companies?+

Yes. Higher plans support multiple companies under one user account, separate delivery destinations and bulk document upload for faster processing.
